Maximo 7 Initial Setup

This document describes the steps to set up the Maximo 7 system before Users are allowed into Maximo.
The overall steps are
1.Create an Organization
2.Create a Base Currency
3.Create Item & Company Sets
4.Configure the GL Components and Create a Clearing Account
5.Set Validation Options
Create an Organization.

1.In the Organizations application, create a New Organization.
2. Enter a value for the Organization ID and description fields.

Create Base Currency

1.Use the Detail Menu > Go To Currency Codes hyperlink function to launch the Currency Codes application then use the Return with Value from Currency Codes to return to the Organizations application.
Create Item & Company Set and Set Default Item Status

1.Use the Detail Menu > Go To Sets hyperlink function to launch the Sets application.
2.Create both the Item Set and the Company Set you will need for this Organization.
3.Use the Return link in the Sets application to return to the Organization application.
a.Create Company Set. If you created the Company Set in Step 2 as instructed then you should be able to select the Company Set from the value list or type it in.
4.Set Default Item Status (you may need to reset this after you save).
5.Save the Organization. Leave the Clearing Account and Active fields blank. You won�t be able to activate the Organization until you have supplied a clearing account.
Create a Control GL Account.

1.Configure GL Accounts in Database Configuration. Open the Database Configuration application and click on the Select Action Menu > GL Account Configuration. Click the New Row button for each component and configure the components as you create them. Click the OK button to complete the configuration. Maximo takes a few minutes to configure all of the GL Account fields throughout the system.

When the system completes the configuration your screen should look like this.

2.All of the objects to be changed will be marked. You will need reconfigure the database before you go further.
Note� Before you are allowed to reconfigure the database two system properties must be configured first, the mail.smtp.host and mxe.adminEmail properties.

Follow the steps as shown in the screen shot above. Locate the property(ies) and enter a value into the Global Value field(s), then click Save. Next select the property(ies) by clicking in the checkbox(es) and then click the Live Refresh toolbar button. The Live Refresh window will open. Check to be sure the property(ies) you are updating is(are) in the Global Properties list, then click the OK button. You should now see a value in the Current Value column of the Global Properties table.
2.The next step is turn on Admin Mode. To reconfigure the database you must first put the system in Admin Mode. Open Database Configuration and click Select Action then choose Manage Admin Mode. Follow the steps in this screen shot to turn on Admin Mode: During this initial setup there should be no other users in the system so you can set the Number of Administrative Sessions Allowed to �1� and set the Number of Minutes for User Logout to �1� to minimize the amount of time you will need to wait to perform the next actions. Once the minute has passed, click the Turn Admin Mode ON button. A window will pop-up telling you that Admin Mode is starting but you can close that window. When the action is complete you will see a message at the bottom of the Status box that indicates Admin Mode is ON. You may close this window.

Now you are ready to reconfigure the database!

1.In the Database Configuration application, click Select Actions and choose Apply Configuration Changes. The Structural Database Configuration window will open.

Follow the steps shown in this screen shot to start Database Configuration.
1.Check the box next to the �Do you have a current backup?� field.
2.Click the Start Configuring the Database button. You will see a pop up message indicating that you have started the process. You may close this message.
3.Click the Refresh Status button occasionally to view your progress in the Status field. When the process is complete a pop up message will appear indicating the database configuration is complete. You may close this message.
4.Click the OK button to close the Structural Database Configuration window.

Create Clearing Account in Chart of Accounts.
1.Open the Chart of Accounts application.
2.From the Select Actions menu choose GL Component Maintenance.

a.In the Components table select a component.
b.In the GL Component Values for XXXXX, click the New Row button and enter values in both the GL Component Value and Description fields.
c.Select the next Component and repeat steps a & b until all values have been entered for the Organization�s Clearing Account. (You can come back to this later to entered additional Component Values.)
d.Once you�ve completed the components needed, click the OK button.
Set Initial Financial Period

1.Still in the Chart of Accounts application, click Select Action and choose Financial Periods. The Financial Periods window will open.

2.In the Financial Periods table, click the New Row button and enter values in the Period, From and To fields.
3.Click the OK button to save your work and close the window.
Validation Options (Optional)

1.Still in the Chart of Accounts application, click the Select Actions menu and choose Validation Options.

2.Set the options as needed for your particular client. The screen shot above shows the default system values. The most likely settings for those using GL Accounts are to set all values to yes (checked).
3.Click the OK button to save your work and close the window.
Create / Validate Clearing Account

1.Still in the Chart of Accounts application, in the GK Accounts for XXXXX table, click the New Row button.
2.Click the Select Value button next to the GL Account field to open the Select Value window (GL Navigator)

3.You will be presented with a list of options for each GL Component. Select a value for all components until the GL Account field (5) is fully defined.
4.Click the OK button to save your work and close the window.
Update Database

1.Still in the Chart of Accounts application, click the Select Actions menu and choose Update Database. The Update Database window will appear.

2.Change the setting as needed and click the OK button. At this point there are no values in any of the account fields so you may leave �Overwrite Blank Accounts Only?� selected.
Back to Organizations

1.Open the Organizations application to your Organization.
2.Enter a value in the Control GL Account.
3.Set Organization to Active & Save.
4.Create Addresses for Remit To, Bill To & Ship To
5.Create 1 Site & associate Addresses
6.Save
Configuration Changes

After doing all of the above, you now can set up autonumbering, add users, set up custom screens, and any other customizations you would like in Maximo.

Maximo 7 Direct Print reports with Attachments

Maximo 7 Direct Print with Attachments
There are a few system settings that need to be set, the report needs to be enabled to print attachments, the attachment needs to be enabled to print with direct print, and there are some settings in Internet Explorer that need to be set.

System Settings
Go to System configuration, platform configuration, system properties, you can filter by the word print to get to these settings. Set mxe.directprint.inherited.attachments to 1 and mxe.doclink.defaultprintdocwithreport to true.

Enabling the Report
Go into report administration and pull up the report you want to direct print with attachments and put a check in the direct print and direct print with attachments box.

Setting the document to print
You have to set each document that you want to print. You can get to the documents several different ways. The easiest way to set all of them is to go into work orders, or any application that uses attached docs, select action, attachments library/folders, manage library. You can then check the print box for each document. It also gives you that option when you add an attachment.

Internet Explorer Settings
There are several settings in Internet Explorer that need to be set in order for attached docs to print through direct print. You should add the domain to the trusted sites, and enable all scripting and applets under security custom level for trusted sites. You also have to tell your computer to automatically open each document type without asking. This can be done under folder options, or you can open each type of attachment (doc, xls, pdf, etc.) and uncheck the box to ask each time if you want to open the file.

In Internet Explorer click on tools, Internet options.

Click on the security tab, then trusted sites.

Click on Sites then add to add the domain. Then click close.

Click on Custom Level and enable all scripts and applets for trusted sites and click ok.

Maximo 7.1.1.6 - This level has reached it's display limit

Have you upgraded Maximo and are now getting this error "This level has reached it's display limit" in your drilldown menus? It's a setting in your library.xml file. I have to thank Chon at Maximo Times for his blog about this problem. I had this problem with a recent upgrade, and of course it had to happen to one of our bigger clients.

Go into application designer, select action, export system xml, and export library.xml
It's important when saving XML files in Internet Explorer to choose page and save from there and not fron the file menu.
Open the XML file in your favorite XML or text editor. I usually use Notepad.
Do a find for relationship="LOCATIONS"
Insert maxchildren="200" (or whatever you need the setting to be) after relationship="LOCATIONS"
ex... maxchildren="200" selectfirstnode="true" width="500">

You can also do the same with assets ex....
beanclass="psdi.webclient.beans.common.DrilldownTr eeBean" checkfornewnodes="true" height="150" id="asset_tree" ignorestructurechange="true" orderby="assetnum asc" relationship="ASSET" maxchildren="200" selectfirstnode="true" width="500">
Go back into application designer and do select action import, and import the library.xml, that you had just edited. Voila, it works :D
